2025 Expressions of Interest

Applications for 2025 event hosts will open in May 2025. If you would like to express your interest ahead of time, simply send us an email at contact@wynlearnfestival.org.au.  We’ll add you to our mailing list and let you know when Expressions of Interest (EOIs) open. 

Be sure to register for one of our information sessions if you are planning on runing an event in 2025. 

If you’d like to host an event in 2025, please fill out the Expression of Interest form. Once submitted, you’ll find details on how to propose your event for approval.

Submitting your event is the first step to joining the Festival—we’re excited to review your ideas and work together to make it happen!

Hosting an Event: Eligibility and Benefits

Who can host an event?

Interested in hosting an event at the Wyndham Learning Festival? We welcome anyone offering a free learning activity. Events must be free to attend and, if in person, held within Wyndham.

Past hosts include individuals, community groups, educational institutions, museums, schools, businesses, men’s sheds, community centres, clubs, kindergartens, libraries, galleries, and tourism venues.

Join the Wyndham Learning Festival to share your ideas, boost confidence, and connect with the community.

Hosting an event helps you gain experience in leadership, networking, and planning, while making a positive impact.

Ideas include showcasing new programs, sharing tips, highlighting learning opportunities, raising awareness for causes, or celebrating milestones.

APRIL
- Look out for an email invitation to our Event Host Information Session.
- No email or have questions? Contact us at contact@wynlearnfestival.org.au.
MAY
- Wednesday 7 May: In-person Information Evening.
- Thursday 8 May: Online Information Session.
- Mid-May: Expressions of Interest (EOIs) open.
JUNE
- Monday 16 June: EOI submissions close.
- Week beginning June 16: Successful applicants contacted and invited to a second Information Session.
JULY
- Wednesday July 2: Second Information Session (compulsory for new hosts or those who haven’t hosted in the past two years).
- Late July: Promotional materials finalised, and bookings open to the public.
AUG.
- Sunday August 24: Festival launch and opportunity to advertise your event to the public
SEP.

Why host an event?

 Running an event is a fantastic way to develop new skills, meet people, and expand your network.

You’ll gain experience in planning, organisation, and public engagement—all while having fun and contributing to a vibrant learning community!

Attending our event host information sessions is always a great way to get information and meet other hosts. It is compulsory for all new event hosts to attend either the in-person or online information session.

Yes, event hosts are responsible for securing their own venue and making sure it suits their event’s needs.

Wyndham offers many great options, from community centres to libraries and coworking spaces.

Some venues may offer free or discounted hire for Festival events, so it’s a good idea to check with them early and mention that you’re part of the Wyndham Learning Festival to explore any available special offers.  Community Centres & Venues | Wyndham City

Yes, most venues require Public Liability Insurance (PLI) to host an event, usually with a minimum of 20 mil coverage.  If your organisation already runs events, you may have coverage.

Please check with your venue for specific requirements.

If booking a Wyndham City Council venue, you can often obtain Council PLI for a minimal cost, which covers a 3-day period. Please contact Wyndham City Council and ask about their ‘Public Liability Insurance for casual users of Wyndham City facilities’ if you would like more information. 

If your event is specifically for children or likely to have children attending, you’ll need a valid Working with Children Check (WWCC).

This must be submitted before your event can be published.

While COVID restrictions have eased, it’s still important to consider safety.

Work with your venue to ensure compliance with any current guidelines.

The Victorian Government provides useful resources to help you create a COVID-safe plan tailored to your event.

Promotion is up to you, but we’re here to help!

Use social media, flyers, and community groups to spread the word. Be sure to tag @wynlearnfestival and use #wynlearnfestival or #wyndhamlearningfestival2025 in your posts. 

WLF also promotes events through various channels such as:

  • Social media (Facebook & Instagram)
  • Community newsletters and forums
  • Media releases and local newspapers
  • Email networks and community centres
  • Website

Please note: WLF will assist with promotion where possible; however, event hosts are ultimately responsible for promoting their own events.

Yes, you’re welcome to use the WLF logo in your promotional materials, but you cannot use Wyndham City Council or Wyndham CEC logos without written permission.

After your event registration is confirmed, we’ll provide you with promotional materials to help spread the word.

You will receive a detailed guide on uploading and managing your event once you have completed the EOI.

Definitely!

Gathering feedback helps improve future events. After your event, we encourage you to share highlights, photos, and comments on social media.

WLF will also provide survey links for you and your participants.
